The following terms and conditions apply to all bookings at Hilden Lodge, whether made directly with us over the phone or via our website or via an external agent (Laterooms.com, booking.com, Expedia etc).
All reservations must be guaranteed with a valid, current credit or debit card. Please be aware that we charge a 4% handling fee when using American Express. (We do not accept Diners and JCB).
All published rates include VAT, at the current rate. Rates are per room per night. Rates quoted are correct only for the specific number of guests, nights and dates shown. Should you change the number of guests, dates or room nights, then the rates would be subject to change.
Please be aware that, with the exception of Cheltenham Gold Cup Week, our cancellation policy is by 12 noon, 72 hours prior to the day of arrival. Failure to cancel before this period will result in full payment being charged to the credit/debit card taken at the time of booking, if we are unable to resell the rooms. We will, however, endeavour to resell the cancelled accommodation.
For Cheltenham Gold Cup Week we operate a non-refundable booking system and full payment will be taken on bookings made from the 1st January of the race year. Any bookings made prior to 1st January of the race year will not be charged until the 1st January whereupon full payment will be taken from the nominated credit/debit card; therefore any cancellations after this date will be non-refundable. No cancellation charges will be made if cancelled prior to 12 noon on the 1st January of the race year. (Any changes to this shall be at the Managers’ discretion).
All group bookings shall require a deposit which shall equate to 20% of the value of the total stay. This deposit shall be non-refundable. (Any changes to this shall be at the Managers’ discretion).
Our check-in time is between 3pm and 10pm. Guests hoping to arrive outside of these times must contact Hilden Lodge, prior to arrival, to check if this may be possible. We reserve the right to charge £7.50 per hour to cover staff costs on late check ins.
To amend a reservation, call us directly on 01242 583242. If you amend your booking within 72 hours of the scheduled check-in time on the date of arrival, and as a result you cancel any room night with less than 72 hours notice, a charge equivalent to the cost of one night’s accommodation will be levied.
In the rare case that, due to unforeseen circumstances, we cannot deliver your requested accommodation, you will be offered alternate accommodation; however this may not be at the same property or at the same rate originally quoted.
Conditions of Stay:
Hilden Lodge is strictly a non smoking property. If you smoke whilst in your room or in any other interior part of the premises (which, for the avoidance of doubt includes whilst leaning out of a window) you may be asked to leave and you will be liable for all of the following charges:the cost of your accommodation to date, a deep cleaning charge of £100 per day, the cost of booking the room for the number of nights it is unavailable for such cleaning and any consequential loss we may sustain. We do have a garden and outdoor decking area where guests are welcome to smoke.
We do not accept any animals.
We ask that you are considerate of other guests at Hilden Lodge, especially on arriving back late at night. Behavior or noise levels judged unacceptable may result in the termination of your stay.
Please note that guests will be charged for any damage.
Please be aware that our limit of liability is capped at the price of the booking.
We may process the information you provide to us for the purposes notified by us to the Information Commissioner. By making a booking, you consent to this processing of information.
